How does it work?
1. Event Organisers
1a. Purchasing an Event
An event organiser must have a verified email address before they are able to purchase an event. If you have not verified your email address, you can verify it on the My Details page. If you have a green tick next to your email address then you have already verified. If you have a red cross, a button will appear to verify your email. When the verify button is clicked, an email will be sent to you with a link that will allow you to verify your email address.
Once you have a verified email address you can continue to the Book An Event page. Here you'll be able to select the option that best suits your event. The next page will require a name for the event (which can be changed later) and the date/start time, you'll then be redirected to a Stripe checkout page. Once the Stripe checkout is complete, you'll see a confrimation of your purchase and a link to your new event..
1b. Managing an Event
You can find your upcoming events on the Events page which will contain a link to the event. The event details will allow you to enter in a description and change some of the event rules. You can also upload an image to represent the event.
In the participants section you can invite/manage/remove users. See section 1c/1d regarding managing pariticpants for more details.
The location needs to be set in order to get accurate scores on the day of the event. Our database may not always contain the course you wish to attend in which case if no search results are found, you can select "My location was not found". This will present a form to present some basic details of the course (name/postcode/tee colour) and someone from our support team will add the details in before your event. You can change the event location prior to the event starting (please note, if the event location cannot be found it can take up to 24 hours to process.)
1c. Inviting Participants
You will need an email address for every participant you wish to invite to the event. Under the participants tab, there is a button to invite users. You can enter in multiple email addresses at one time seperating them with a semi-colon ( ; ).

After submitting the email addresses the system will process them and feedback any issues. If a user has used scoremygolf.co.uk before, they will receive an email asking them to confirm attendance to the event and their handicap will be set based on their account details. If the user is new to scoremygolf.co.uk they will be added to the event with the default settings. They will also receive an email inviting them to confirm their attendance and can accept the invitation without registering. The default name for a non-registered user is 'Participant' followed by 4 numbers and the handicap is 28. If a user is not registered, you can update their name and handicap to ensure the scorecard is accurate. It is also possible for event organisers to confirm attendance for any user in your event.
A user does not need to register but at least 1 person per group will need to be registered in order to login and submit the scores. If a user declines their invite, they will automatically be removed from the event and you will be notified.
1d. Managing Participants
From the participants section, you have the ability to edit a user. Depending on whether the user is registered or not will depend on what you can change for that user. For a registered user you can change which group they will be in (maximum of 4 people per group) and their access level to the event.
Participant - No event permissions other than to view details and score for their group. Participant Admin - Allows the user to manage participants including inviting participants. Event Admin - Allows full control to the event equal to the event organiser.
If the user is not registered, you'll also be able to change their first name, last name and handicap to ensure the scorecard is accurate. For your own records, you can also confirm their attendance at the same time but a non-registered user can confirm their attendance without creating an account by clicking on the link in their email.
From this section, you can also remove a user from the event. When clicking on remove, it will prompt for confirmation to avoid accidental deletion.
2. Event Participants
2a. Accepting an invitation
When an event organiser invites you to an event, you wil receive an email to request confirmation of your attendance. The link in the email will take you to a confirmation page where you can accept or decline the invitation. Alternatively, when you login to your account and go to the Events page you can see the upcoming event and a link will be provided if you've not already confirmed attendance.
If you decline an invite, the event organiser will be notified and you will be removed from the event.
2b. Viewing event details
As a standard participant you will have the ability to view all details of the event but with limited visibility on the participants tab. The details link is available for each upcoming event on the Events page. You'll be able to see the rules and description for the event, who is participating and where/when the event will take place. Events that have ended will only have access to basic details and a link to view the leaderboard.
3. Scorecard
3a. Scoring
The scorecard does not become active until the start time on the day of the event. A link to the scorecard can be found on your dashboard or on the Events page.
The scorecard is expecting the number of strokes played by each participant. The system will automatically calculate the score based on the players handicap and the rules set on the event.
Once the scorecard has been opened, it is advised to not refresh your browser window. All scorecard details are cached locally, if you lose signal while on the course a warning will appear but you can continue to add scores on the scorecard (note: the leaderboard will not refresh while the connectivity warning is present). Scores that are cached will automatically be sent to the leaderboard when your connectivity is restored. When connected, scores will periodically be submitted while the scorecard is open.
Occasionally you may see a notification pop up advising there is a score conflict, follow the on-screen instructions to resolve this or see more details on the anti-cheat system.
Within the scorecard you can view the leaderboard which is periodically refreshed and also see a log of events for your group. The details tab will also provide links to resolve any score conflicts for your group.
3b. Anti-Cheat
There is an anti-cheat system put in place to prevent people changing scores. If a participant attempts to change a score, unless it meets a strict criteria it will typically create a score conflict. All members of the group will be notified on the scorecard and everyone except the person who created the conflict will be able to agree/disagree with the score change.
While a score conflict is active, the scorecard and leaderboard will use the original score. When a member of the group clicks on the notification or the link in the details tab, they will be presented with the information to correctly deal with the conflict. This includes which hole, the participant who's score is being changed and who created the conflict. At the end of the event the event organisers will be notified of any conflicts that took place with all the relevant details.
Some events may have rules enabled to prevent you from being able to submit your own scores. Only other members of your group will be able to submit scores for you and you will have to score for them. At least 2 members per group must be registered when this rule is active.
The scorecard will periodically refresh automatically showing you the scores submitted by your group members so you have full visibility of the scorecard during the event. The details tab will provide a list of who has recently submitted scores.
4. Leaderboard
The leaderboard is arranged in order of each participants current score. Users who have not yet teed off will be placed at the bottom of the leaderboard. The strokes is the number of strokes submitted on the scorecard with no handicap included. The current score includes the accumulated handicap for each participant based on the stroke index.
The order of the leaderboard is automatically organised based on their current score, followed by score on the last 9 holes, then the last 6 and then the last 3. Clicking on a participant will display their scorecard including their count back scores.
The link to the leaderboard can be shared on social media or other platforms (note: this is not the leaderboard visible on the scorecard). A user does not need to have an account in order to view the leaderboard.
The leaderboard will automatically refresh while the event is active, this makes it easier to manage if the leaderboard is displayed in the clubhouse or on other screens.
